Artificial Intelligence (AI) is rapidly transforming how we work. From streamlining everyday tasks to supporting more effective collaboration, AI has the potential to free up time and improve the staff experience.
As part of the University’s Digital Strategy, we are excited to launch a Proof of Concept (PoC) trial of Microsoft 365 Copilot, with an initial allocation of 100 licenses. This trial will help us explore how Copilot could support staff to work more efficiently, securely, and with greater confidence in your daily roles.
What is Microsoft 365 Copilot?
Microsoft 365 Copilot is a secure, enterprise-grade AI assistant embedded directly into the tools many of us already use every day, including Word, Excel, Outlook and Teams. It can:
- Provide real-time support within Microsoft 365 apps
- Give secure access to your Microsoft files, emails and data
- Offer enterprise-level data protection
- Enable custom workflows and prompts tailored to your needs

Free vs paid Copilot – what’s the difference?
While you may already have used free AI tools or the free version of Copilot named Copilot Chat, the paid 365 Copilot license offers a more integrated experience.
- Paid Copilot: works seamlessly with Microsoft 365 apps, providing advanced, context aware support and secure access to the University
- Free Copilot: works as a standalone tool with limited functionality, requiring manual input and no integration with University files or systems.
This PoC trial focuses on the paid version of Copilot 365 , enabling staff to test its full capabilities.
How the trial will work
- Who can apply? IT Services has shared details of the PoC with Directors of Professional Services, Research and Education. Staff in these areas are invited to apply for one of the 100 available licenses.
- How long does it run? Successful applicants will receive a temporary Copilot license for 12 weeks.
- How will licenses be allocated? Applications will be reviewed by a project panel, prioritising ideas that show strong potential for AI to improve processes, add value, or support innovation across the University.
What success looks like
The University will evaluate the trial against:
- Tasks improved or automated
- Time saved
- Staff satisfaction and confidence using Copilot
- Potential to scale and roll out more widely

- Be prepared to use Copilot regularly and provide feedback
